  • Account Supervisor

    Job Summary:

    Drive client accounts – from creative through back-end analysis. Act as primary client contact for all matters related to client fundraising program. Represent client to internal department staff and management. Supervise, mentor and professionally develop a team of production staff.

    Job Responsibilities:

    • Drive marketing efforts including direct mail, email, telemarketing, etc.
    • Develop mailing program themes, schedules, etc. and ensure copy is written as needed to meet mail dates.
    • Obtain written approval from client for copy and mail plan for all mailings. Ensure art and data are not released without client approval.
    • Update any changes to quantities, mail dates, etc.
    • Act as liaison with AMLC to track list orders, prepayments, delivery, etc. ensuring mail dates are met and rescheduled if they cannot be met.
    • Ensure all appropriate data is transferred weekly from Caging Company to DMP.
    • Update Cash Needs report. Inform COO and Accounting of any postage/financial needs that are jeopardizing a mail date.
    • Proof art, blue lines, laser set-ups and insertion order samples and obtain COO approval.
    • Track Business Reply Mail account balances and Special Account balances to ensure they are funded as needed.
    • Update white boards daily.
    • Approve invoices daily, ensuring costs are broken out by job as appropriate. Check behind production staff to ensure accuracy in BlueBooks.
    • Verify accuracy of Annual Summary monthly and provide to COO.
    • Ensure update of Doubling Day report monthly to track mailing delivery/results.
    • Act as liaison with client on name and address changes, questions, problems, copy approval, email survey tallies to client and copywriter/CEO, etc.
    • Ensure caging company tallies surveys and ships petitions/postcards/letters to clients on a monthly basis.
    • Coordinate email campaigns. Ensure appropriate approvals. Ensure donor information is keyed at DMP and tally sheets are updated in the Bluebooks.
    • Coordinate telemarketing efforts for both pre-calling and fundraising appeals. Ensure appropriate approvals. Ensure donor information is keyed at DMP and tally sheets are updated in BlueBooks.
    • Write thank you letters to ensure they mail weekly and are mailed at the lowest possible cost.
    • Assemble all necessary information for clients’ FEC reports. Ensure FEC ATA and our vendors are fulfilling our duty to assist client with complying with FEC requirements.
    • Do mailing projections worksheets, weekly job projections for each house file mailing, as well as weekly cash projections for all mailings.
    • Prepare materials for client meetings. Take notes at client meetings and prepare roundup memorandums of all items covered.
    • Produce and maintain research binder, test result binder, client binder, and list binder of relevant information on client issues.
    • Analyze package tests, list tests, and over mailing results of packages. Make recommendations for future mailing strategy.
    • Make list continuation and test recommendations for house file and prospect packages.
    • Create budget and projection for upcoming year. Develop mail plan to make happen.

     

    Scope:

    Supervise and evaluate work performance for Production Staff. Responsible for client fundraising satisfaction and review. Act as primary point of contact for clients and internal management.

    Qualifications:

    Bachelors degree or 5 to 8 years experience in industry. Preferred degree in Marketing, Political Science or Communications. Strong communication and presentation skills, problem solving ability, multi-tasking, analytical, computer and leadership skills.

    Essential Functions/Physical Requirements:

    Capable of working irregular hours as needed. Occasional local travel to vendor or client locations.

  • Production Manager

    The Production Manager is responsible for overseeing all aspects of Production: print,mail, purchasing, invoicing, job reconciliations and anything else that may happen.

    Job Responsibilities:

    • Act as Production Manager on client accounts, working closely with Account Executive to ensure all mail dates are met.
    • Prepare critical paths for all mailings. Track mailings along critical path to ensure copy approval, art, data, sign-offs, etc. happen at the appropriate time to ensure mail dates are met.
    • Ensure all approvals are obtained prior to issuing purchase orders or ordering data. Ensure job spreadsheets are updated and re-routed with all changes on a daily basis.
    • Bid all mailings, produce purchase orders for all jobs for printing, personalization,and mailshop. Obtain appropriate approvals of purchase orders by Account Executive and/or Accounting.
    • Proof art, blue lines, laser set-ups and insertion order samples. Obtain live samples 24 hours prior to mail date for Account Executive approval.
    • Obtain written approval from client for copy and mail plan for all. Ensure art and data are not released without client approval.
    • Ensure ATA internal legal approval on all packages mentioning elections or candidates for office.
    • Update Account Executive daily with any changes to quantities, maildates, etc.
    • Act as a liaison with internal and outside artist on client mailings, ensuring all ATA and client copy/art changes are made and ensuring art is consistent with specs given. Have all art proofed carefully by 2 people and obtain final approval of Account Executive and President.
    • Prepare all check/postage requests. Update Cash Needs report daily and track to ensure postage and vendor money is received in time to make mail dates. Inform
    • Account Executive of any postage/financial needs that are jeopardizing a mail date.
    • Obtain copies of all postage receipts daily and put drop counts in BlueBooks, within 48 hours of drop. Report drop counts daily for Drop Count Report.
    • Ensure original postage receipt is filed in job file.
    • Obtain all invoices within 2 weeks of final maildate and ensure accurate costs are in BlueBooks.
    • Approve invoices daily, ensuring costs are broken out by job as appropriate.
    • Keep copies of all invoices in job files.
    • Produce open memos and send to DMP within 1 business day of maildates to inform caging company of mailcodes, quantities, and job number. Resolve any mailcode problems with DMP.
    • Maintain records of all postage and upfront money released in job jackets. Ensure postage overages are refunded to ATA or credited on invoice. Keep copies of postage refunds in job jackets.
    • Enter details of mailings in bluebooks. Ensure 100% accuracy of mail dates, mailcodes, costs, list selects, drop counts and other job information.
    • Reconcile BlueBooks jobs with accounting.
    • Update mail schedules by Friday morning so Account Executive can provide to senior management. Provide weekly mail schedules and mailing summary reports to client, along with purchase orders, invoices and other reports as requested.
    • Meet with Account Executive before each mailing to go over generate a creative brief. Once returns are in on a mailing, meet with Account Executive to do a post mortem analysis on each mailing.
    • Keep inventory binder updated monthly for clients.
    • Order all data, write merge industry, and approve merges, Bluebooks training/trouble shooting.
    • Organized and obtain postage list prepay funds, train new production staff, provide reports to client as required, look up donor histories for clients, special projects and reconciliations for clients, integrate postal marketing.
    • Other duties as assigned.

    Scope:

    • Responsible for managing all production aspects of client fundraising program. Assist AE with client projects. Assist accounting with client audits.

    Job Summary:

    Create direct mail and internet packages for all clients as requested.

    Job Responsibilities:

    • Develop copy/creative for new direct mail packages.
    • Write specs, work with Account Executives and Art Department to get packages produced.
    • Edit existing packages as needed.
    • Monitor results, adapt packages to work in new environment.
    • Develop internet packages and appeals.
    • Build multi-channel marketing appeals by integrating postal packages with emails, phone scripts.

    Scope:

    Work with nearly all clients (charitable and conservative grassroots.)

    Qualifications:

    BA in Marketing and/or Journalism and 5+ years of experience.

  • Conservative List Sales & Marketing Associate

    Job Responsibilities:

    • Develop a prospect list every quarter.
    • Initiate contact with list brokers/mailers (primarily via phone).
    • Initiate new sales of AMLC managed list properties for conservative organizations and political campaigns.
    • Follow up on ALL NEW Lists test performance with outside Brokers in order to maximize rollout potential.
    • Produce marketing materials for sales promotions on an ongoing basis, primarily via email, ads and/or special mailings.
    • Track & report all sales efforts monthly to AMLC President.
    • Assist List Management Staff when needed by inputting orders and coordinate their fulfillment and invoicing.
    • Run all count requests for perspective list renters.
    • Provide all list usage requests.
    • Cross sell AMLC files when appropriate.
    • Write new data cards and update all existing data cards maintained on company website as well as Next Mark, SRDS, and MIN.
    • Represent AMLC list-managed properties at industry conventions and trade shows.
    • Responsible for maintaining company’s image and relationships with new and long term clients as well as in the marketplace.
    • Provide excellent customer service to ensure client satisfaction.
    • Show interest in industry news and trends by attending Direct Marketing events in order to further educate yourself and promote your clients’ mailing activities.
    • Maintain a good attitude and work ethic.

     

    Annual Goals:

    This position has been developed to increase sales of AMLC managed properties in both conservative organizations and political campaigns. It is our belief that the way this will be accomplished most effectively is through consistent, daily sales calls to list brokers and mailers.

  • Vice President/Account Executive
